Running a business? Don’t forget to update your BDO data!
Keeping company data up to date in the BDO (Waste Database) is not just an administrative formality. It is a legal requirement that ensures compliance with Polish waste regulations. Businesses dealing with waste transport, collection, or processing must regularly verify and correct their information. Failing to do so can lead to serious consequences, including financial penalties or operational restrictions.

Data updates are essential, especially when company details change. Address modifications, new authorizations, or management structure adjustments must be reported. Entrepreneurs who ignore this obligation risk problems during inspections or audits. Staying proactive minimizes risks and keeps operations running smoothly.
Update your data in BDO – why it’s essential?
Every business registered in the BDO must maintain accurate records. Polish waste law requires up-to-date data to ensure transparency in waste management processes. Authorities use the database to monitor compliance, and incorrect or outdated information can raise red flags during inspections.
As stated in Polish Waste Act of 14th December 2012:

A failure to update data may result in financial penalties (up to 5000 PLN which equals to almost 1200 EUR) or even the suspension of waste-related activities. Companies must also remember that incorrect details can delay permits, complicate documentation processing, or affect cooperation with business partners. By keeping records current, entrepreneurs demonstrate responsibility and avoid unnecessary legal issues.
PESEL and Trusted Profile: their role in BDO management
Many entrepreneurs update their data using the Trusted Profile system. This digital tool enables secure and convenient online verification of company details. It simplifies the process, reducing the need for physical paperwork and ensuring that updates reach the database quickly.
Foreign entrepreneurs operating in Poland must often obtain a PESEL number to manage their BDO obligations. Without it, accessing the system or making necessary changes becomes difficult. The combination of a PESEL number and a Trusted Profile allows for smooth interactions with the database, ensuring full compliance with Polish regulations.
Update your BDO data and – if necessary – pay new fees
If you want to expand the scope of your activities requiring registration in the registry as:
- an entity introducing electrical and electronic equipment and an authorized representative,
- an entity introducing batteries or accumulators,
- an entity introducing vehicles,
- a manufacturer, importer, or intra-community acquirer of packaging,
- an entity introducing packaged products into the national market,
- an entity introducing tires into the national market,
- an entity introducing lubricating oils into the national market,
Please note that you will be required to pay a registration fee, which has increased this year and now amounts to 300 PLN for micro-enterprises and 800 PLN for other businesses. In subsequent years, you will be obligated to pay an annual fee of the same amount.
Entrepreneurs should pay close attention to fee schedules, as failing to meet payment deadlines can result in fines. And you can’t send the annual report without updating the company data first.
Additional topics to keep in mind for foreign clients
Foreign transport companies operating in Poland must comply with BDO regulations. Registering correctly and maintaining accurate records is essential for cross-border waste transport. Without proper documentation, companies may face border delays or regulatory challenges.
Clients ordering waste loads should also familiarize themselves with Polish waste laws. Understanding classification systems, transport regulations, and required permits helps avoid legal complications. Seeking expert advice can streamline operations and prevent compliance issues.
